Pair context with detail
Take a wider view that shows the room and a fixed landmark, then a closer view of the visible condition if it can be obtained safely. A close image of a wet corner alone may leave the provider unable to place it. Avoid filters or edits that change the apparent color, size, or severity.
Keep the original file and add a separate note describing the date, approximate time, and whether water was active or already stopped. If a photo shows an old stain, label it as such. Do not present a historic image as evidence of current flow.
Record the sequence in plain words
Useful notes include which fixture had been used, whether an appliance was draining, whether rain occurred, and what action was taken afterward. Do not turn an observation into a technical conclusion. “Wet after shower use” leaves the provider room to investigate supply, drain, and enclosure routes.
If you do not know what happened before discovery, leave the gap visible. An honest incomplete history is better than a precise-looking timeline built from assumptions.
Protect information that is not needed
Before sharing, check for residents, medication labels, financial papers, account numbers, keys, alarm details, or access codes in the frame.
