Notify the person who controls the building's repair process.

In a rental or managed property, the person who sees water may not control the source, shutoff, or repair authorization. Use the building's established maintenance or emergency-contact route. Describe the active condition, the affected unit or common area, and any immediate safety concern.

Report both the water and the access problem

Say whether water is inside your unit, coming from above, entering a shared hall, or near building equipment. If another unit may need access, tell management rather than approaching or entering it yourself. Keep away from hazardous wet or unstable areas.

Do not operate a shared valve, open another resident's wall, or authorize changes to common systems without appropriate authority. If there is immediate danger to people, use emergency services from a safe location rather than relying only on a routine maintenance message.

Keep a factual notification record

Save when and how the condition was reported, the response received, and any instructions. A safe photo can help show what was visible at that time. Record continuing changes without assigning blame to another occupant or a particular contractor before the source is established.

This page does not determine landlord duties, tenant remedies, payment responsibility, or entry rights. Those questions depend on the facts and applicable rules. Seek qualified local advice or official housing resources when a legal dispute arises.

Clarify the role of an outside provider

If management directs you to arrange a visit, ask what you are authorized to approve and who pays the provider. Confirm how the worker will obtain access and who can approve additional work. A referral call made by a resident is not proof that the owner has agreed to a project.

For shared piping, ask whether other residents must limit use during investigation and who will communicate that request. The shared-line guide covers why the affected system can extend beyond the wet room.

End with an accountable next contact

After repair, know who handles unfinished drying, ceiling or floor restoration, and any recurrence. Keep that contact with the repair record rather than assuming every follow-up belongs to the person who first answered the phone.

If authorized to seek a private plumbing provider, call 877-702-1610. Verify the recipient, scope, and charges. Portland Leak Notes is not your property manager and cannot approve work on behalf of an owner or building association.
