A folder labeled “plumber” is less useful than a record identifying the source, location, work, and remaining questions. Keep the information while it is fresh. It can help a future provider, a property manager, or an official account review without relying on memory.

Begin with the original observation
Save the discovery date, room or exterior location, visible symptom, and any safe photographs. Record actions taken before the visit, such as stopping fixture use or having water isolated. Preserve uncertainty instead of rewriting the original history to match a later diagnosis.
Add what the provider actually found
Ask for the failed component or pipe section, how its location was established, and what was repaired or replaced. Keep model and part information when relevant. A contractor-supplied photograph can document inaccessible work without requiring you to enter a crawlspace or opening.
Label any sketch according to its limits. A rough location drawing can help later maintenance, but it is not a survey or complete map of concealed utilities.
Keep approvals and money records together
Retain the accepted estimate, written changes, final invoice, payment record, and applicable warranty terms. Include permit and inspection references when required. Do not assume an invoice proves an inspection passed; preserve the actual result if it applies.
If more than one company participated, identify each scope separately. Plumbing, electrical work, drying, and finish restoration can have different agreements and follow-up contacts.
Record the final condition and remaining work
Note what was checked, what was left out of use, and any unresolved issue. Keep the provider's instructions and the person responsible for the next step. If a leak returns, this record helps compare the new event with the previous work without immediately assigning blame.
